Scope & agreed project terms
This policy covers exhibition, conference, media, staffing and operational services. Cancellation effects depend on the project and its stage. Notice periods, any cancellation fees or percentages and refund timelines are defined in the proposal and agreement before approval, subject to statutory rights.
How to request a change or cancellation
Email a written request including your organisation, project reference, service, requested date and reason for the change. We review and document its impact on scope, timing and cost. A change to the event date does not automatically confirm a new delivery date.
Before work begins
Preparatory work, bookings and purchases authorised before cancellation are reviewed, including what can be stopped or recovered. Any balance payable or refundable is assessed under the agreement and documented costs. Payments are not automatically treated as non-refundable.
After delivery or production begins
Completed work, project-specific materials and approved non-recoverable commitments are assessed in an itemised settlement. Payments received are reconciled against amounts due and the contract, avoiding duplicate recovery of the same cost.
Postponement & circumstances beyond control
Postponement depends on team, equipment and venue availability and whether bookings can be transferred. Cost and schedule changes require written approval. When circumstances beyond control prevent delivery, alternatives and obligations are assessed under the contract and applicable law; neither party’s rights are automatically waived.
Settlement & refunds
Where a refund is due, the settlement states its amount, calculation, payment method and the timeline applicable under the agreement and relevant law. Recipient details are verified before transfer, and accounting or tax adjustments are issued where applicable. Any objection should be raised in writing under the contract’s dispute process.
